Submission guidelines

Submission of regular papers

Accepted Regular Papers will be submitted for inclusion in IEEE Xplore and presented during the conference. To improve the interaction between participants there will be oral and poster sessions for the presentation of the works accepted as Regular Papers. 

Style:

Regular Papers must be in English. They can have up to six pages (US Letter size: 8.5 by 11.0 inches or 215.9 by 279.4 mm) and must strictly adhere, even in the submission phase to the IEEE conference style:

If you use LaTeX, be sure to use the template’s conference mode. See template documentation for details. Make sure to eliminate Type 3 fonts from your document BEFORE submission. Refer to the Type 3 Font Info page for details.

References:

Make sure references are in the correct format and no info is missing. This is the IEEE reference manual IEEE references. Journal, proceedings and book references should be as follows:

Submission of summaries for posters

Posters are shorter works made by researchers, undergraduate, master or PhD. students in the topics of the CAE. These shorter works will NOT be submitted for inclusion in IEEExplore but will be presented in person during poster sessions at CAE. They can be submitted either in English or Spanish. Poster works can be then invited to submit a manuscript to Elektron journal. 

All submissions must be done through CAE 2025 poster submission site (will be open soon).

Format of Summaries:

To submit a work as a poster, send a two page summary using the regular paper templates (see Regular Paper section). Summaries will be subjected to a peer-review selection.

 
Plagiarism:

CAE is subject to IEEE policy about plagiarism. If you are uncertain about this topic please read the IEEE plagiarism FAQ page.

Submit your student poster summary in PDF format using the online system (not yet available). 

Poster format:

Accepted posters will be presented during poster sessions during CAE. The suggested poster size is no larger than A1 (preferred), portrait orientation, including the CAE logo. Authors may choose the poster language between Spanish and English. poster printing is at the author’s expense. Posters will be presented in person during CAE  poster sessions.

Final version submission checklist for accepted Regular Papers:

Before submitting the final version, make sure the following checklist is complete:

  1. Paper size is US letter

  2. There are no page number of other legends

  3. Titles and subtitles are in the right style

  4. Abstract title is bold and italic

  5. Abstract content is bold

  6. Book references are in the right style (book title in italics)

  7. Journal and Conference Proceeding references are in the right style (paper title between quotation marks, journal/proc. name in italics)

  8. Journal and Conference Proceeding references have volume, number, page numbers and year (indicated as vol. 1, no. 1, pp. 3-5, 2019.)

  9. PDF express compatible file generated and output uploaded through Easychair

Log in to the IEEE PDF eXpress TM site:

  • First-time users should do the following:

    • Select the New Users – Click Here link.

    • Enter the following:

      • (will be confirmed soon) for the Conference ID

      • your email address

      • a password

  • Continue to enter information as prompted.

  • An Online confirmation will be displayed and an email confirmation will be sent
    verifying your account setup.

Accepted Regular Papers Oral Presentation:

  1. The oral presentation requirements are the following:
  1. The slides to support the oral presentation must be written in ENGLISH.
  2. Authors may choose the oral presentation spoken language between Spanish and English.
  3. Regarding the video, both the slides and the language used to present them should be ENGLISH. The videos must be saved in a drive folder that the organization will share with each of the authors whose work has been selected and approved as a video presentation.
  4. The authors of those works approved for full-paper publication, that cannot participate in the on-site sessions, will have to upload a video (15 minutes long) presentation of their article to a cloud storage folder that will be shared with them by the organization. All the content of the video must be in ENGLISH
